Prepare your first signing workflow
Take one approved document from workspace setup to a checked signed record.
Start with one activity and one clear definition of a successful visit. A guest should reach the correct form, understand who needs to sign, complete it and appear in the records your team uses. That is a more useful first milestone than setting up every program at once.
Have the wording approved for your activity ready before you start arranging fields. The template builder helps you present and collect information; it does not decide what your document should cover or who is authorized to sign.

Open Settings and review Locations. Use a name staff can distinguish from another branch or event site. Decide who will maintain the form and who will answer questions at the desk. Give that person access through their own account rather than passing around the owner’s login.
Create and review one template.
Open Templates, create a named template and add the fields your process requires. Place your approved wording in the document, followed by the relevant acknowledgments and signature. Review required fields and preview the complete flow before publishing. Keep optional information optional unless there is a clear reason to require it.
Try the guest-to-desk handoff.
From Share, use the published signing route intended for guests. Complete a clearly identified test record, then find it in Waivers. Ask a colleague to locate the same record and explain what happens next. If families attend, include a guardian and child in the rehearsal rather than testing only one adult.
Try it with a realistic visit.
Try a first-time adult who signs from a booking message, followed by a walk-in who uses the counter tablet. Give a colleague only the information a guest would normally provide. Ask them to find both records without help from the person who built the template. This tests the handoff between signing and reception, not just whether a form can be submitted.
You are ready for a small pilot when the correct document opens, each required signer is identifiable and the desk can retrieve the resulting record. Note any extra explanation the colleague needed and turn it into a clearer field label or counter instruction.
The template is missing from Share.
Check that it has a published active version. A saved draft is not a published template. Also review visibility: an invite-only or kiosk-only template does not offer the same general public link as a public template.
Do we need to launch every location together?
No. A pilot with one location or program helps you find unclear instructions before repeating them across the business. Keep the existing signing route available until the new flow and record retrieval have been checked.
