Find the right signed waiver

Search participant details and use filters without losing the record you need.

A good search starts with one reliable detail. Use the contact information entered during signing when possible, then narrow the result by template, location or date if the list is still too broad. Be careful with nicknames and family members who share an email.

The Waivers page separates All, Flagged, Expiring and Voided records. The active segment and filters affect what you see, so check them before deciding that a record is missing.

Start with a name, email or phone.

Open Waivers and use the search field. If a name gives too many results, try an email or phone number used on the form. If it gives none, ask whether the guest used a different name or a guardian’s contact details. Avoid requesting unrelated sensitive answers just to locate the record.

Review the segment and filters.

Check whether All, Flagged, Expiring or Voided is active. Review date, template and location filters and remove restrictions that are not part of the search. A narrow date range can hide a returning visitor’s older waiver even when the record is still relevant.

Open and verify the match.

Compare the participant, template and signing information with the visit you are handling. Review the actual signed version and available record details where needed. If several records look similar, use the activity and signing context to decide which is relevant rather than choosing only the newest timestamp.

CHECK THE RESULT

Try it with a realistic visit.

Ask a colleague to find a test record signed outside the current date filter. Start from a filtered view so they need to notice the restriction, then search by the participant’s email. Repeat with a family record where the guardian’s contact information was used. These cases reveal whether the team understands the search context instead of treating every empty list as a failed signature.

The correct result matches the person, template and relevant signing context. Make a note of the search detail that resolved an ambiguous case so the counter instructions can suggest it next time without collecting unrelated personal information from the guest.

IF YOU GET STUCK

A record is visible to a colleague but not to you.

Compare the same search, segment and filters first. If the views still differ, ask the administrator to check account access. Use your own account and avoid sharing credentials to get around the difference.

Can we find a record by the template used?

The Waivers filters include template and location alongside other criteria. Combine a useful participant detail with those filters when the organization has several activities or a long signing history.
