Invite a roster and follow up on missing signatures

Add recipients, review the import and use invitation status before reminding people.

A clean roster saves time at the door. Before adding recipients, remove obvious duplicates and check the contact details against the booking information. If children are attending, make sure the invitation reaches the adult who needs to sign rather than assuming the group organizer can handle every form.

Adding people and sending invitations are separate actions. Use that separation to review the list before messages go out, then use the event’s status information to decide which follow-up is useful.

Add and review the recipients.

Open the event and paste email addresses or phone numbers, separated by commas, semicolons or new lines. You can also upload a CSV. The import shows counts for email, phone and skipped entries; inspect them before adding. The current CSV input accepts files up to 1 MB, so split an oversized list into smaller reviewed files.

Send invitations from the event.

Check the roster and event details, then use Send invitations. A queued message is not proof that the guest has received or signed it. Review the contact’s status and send information in the roster. Avoid repeatedly pressing send while you are still checking a delayed delivery.

Follow up with the people who need it.

Use Remind all pending for a reviewed group follow-up, or the row-level Resend action for an individual. Investigate a Bounced status before repeating the same message. Keep late additions and substitutions visible to the desk, and verify the actual signed record when someone says they already completed the form.

CHECK THE RESULT

Try it with a realistic visit.

Review a small roster containing a valid email, a phone number and an intentionally malformed test entry. Compare the import preview with the source list before adding it. In the event workflow, distinguish a recipient who has merely opened the invitation from one whose record is signed. Decide what the desk should do when another participant is added later.

The organizer should be able to explain which recipients were accepted, which need correction and which still need a signature. Keep the approved reminder list narrow enough to avoid sending the same follow-up to guests whose paperwork is already complete.

IF YOU GET STUCK

Some CSV entries were skipped.

Check the preview counts and the source file. Correct missing or malformed contact values and compare the accepted roster before adding again. Do not assume that the number of spreadsheet rows equals the number of usable recipients.

Does Opened mean the waiver is signed?

No. Opened and Signed are separate statuses. Use the signed status and the resulting record to confirm completion rather than treating a viewed invitation as finished paperwork.
