Handle expiring, expired or flagged records
Use status information to choose the right next step at the desk.
Status should make the next action clearer, not leave the person at reception to interpret a document under pressure. Agree in advance who reviews an exception and what staff should tell the guest while that review happens.
A signature, an expiry date and a flagged answer describe different things. Keep them separate when checking a record so one reassuring label does not hide another question that still needs attention.

Confirm the person and template, then read the validity information. Check whether the record relates to the activity happening today. If a family is attending, identify each child covered by the record instead of relying only on the adult signer’s surname.
Apply the agreed review process.
Use your venue’s approved policy for expiring or expired documents. A flagged answer needs the responsible person to review it; the software flag is not a medical or participation decision. Route the exception away from the main queue when possible so another teammate can continue ordinary arrivals.
Keep the historical record intact.
If a new signature is required, send the guest to the correct current form. Do not try to make the old document look current by changing its history. Keep the original record available and make sure the desk knows which new record to use after the guest finishes.
Try it with a realistic visit.
Walk through a valid test record, a record approaching its expiry and one needing staff review. Ask the desk teammate to describe the next action for each without interpreting the waiver wording themselves. If the answers depend on which person happens to be working, write down the venue’s agreed rule and the person responsible for exceptions.
A good result is a consistent handoff: routine arrivals continue, the right person reviews exceptions and an old signed document remains intact. The team should know when another signature is required and be able to explain that requirement to the guest in ordinary language.
The guest signed recently but the record looks wrong.
Check for another record, a different template or a location mismatch. Ask which contact details they used and when they signed. A recent signature does not by itself prove that it is the right document for today’s activity.
Does an expiring record always require a new signature today?
That depends on its actual validity and your approved participation policy. Read the date and apply the agreed rule. Do not infer a new signing requirement solely from the color of a status label.
