01 / ARRIVAL WORKFLOW

Finish the signing task before changing-room time.

Families arriving for a lesson are managing bags, changing and finding the meeting point. A form first introduced at reception competes with all of those tasks. Send the signing link in the enrollment message, with a clear explanation of which children to include.

Keep lesson logistics beside the link but outside the agreement text. Arrival time, entrance directions and the meeting location may change independently of the reviewed participation document. Staff should be able to update those instructions without quietly altering what a previous guardian signed.

02 / PEOPLE AND PERMISSIONS

Name the swimmer, not just the household.

A household can have children in several lesson groups. Make each participant identifiable, and keep the guardian who signs distinct from the adult bringing the child that day. A family contact record alone may not tell reception which swimmer the document covers.

Do not turn the waiver into a substitute for your lesson placement or instructor assessment process. If a collected answer needs instructor attention, define how it reaches the responsible person privately. Avoid reading detailed responses aloud at a busy reception desk.

03 / BUILD THE FORM

Give the form a focused structure.

Start with guardian and participant details, the lesson program, approved wording and signing fields. Add questions because the school has a specific use for the answer, not because another provider's form includes them. Review the form with the staff who will actually use the information.

Preview the mobile experience with two children on one form. Check that the family can tell which answer belongs to which child and that a required field explains how to correct an omission. A confusing field label is often a bigger arrival problem than the number of fields.

04 / FIND THE RECORD

Keep lesson progress separate from document status.

Moving a swimmer to another group changes the teaching schedule. Whether it requires a new participation document depends on the scope of your reviewed wording and policy. Keep that decision explicit instead of having reception guess whenever a level changes.

Use record search to find the relevant signed form, and keep its version available. Attendance history, lesson progress and waiver status should remain distinguishable so a familiar name on the roster does not automatically become a completed document check.

Test the handoff between reception and instructor.

Choose a new family, siblings in different sessions and a child brought by another adult. Walk through finding the signed record and identifying any unresolved item before the instructor takes over. Staff should know which question belongs with a lead and which can be resolved at reception.

Prepare for a phone with no signal and a guest who did not receive the original message. A shared signing device can help, but confirm that it resets between households and that the completed record reaches the system. Keep all pool access and instructional requirements in the school's established process.

A roster shows who is booked or expected. Check the actual signed record for the participant rather than assuming enrollment includes a completed waiver.

What happens when a child changes lesson groups?

Keep schedule and document decisions separate. Follow your reviewed policy on whether the existing form covers the new participation context, and publish or collect new wording deliberately when needed.
