How to handle waiver records when a group booking moves
Update the visit plan, review document scope and reconcile participants without rewriting their original signed records.
A rescheduled group can arrive with a mixture of completed forms, old messages and new participants. Start by separating three changes: the date or location, the activity itself and the attendee list. Each may require a different action.
Establish the new booking facts
Confirm the event reference, new schedule, intended activity and current organizer contact. Keep the original booking context available so staff can understand what changed. Avoid creating a second unrelated group name that makes the old and new records impossible to reconcile.

Review the people again
Ask the organizer to identify additions, cancellations and replacements. A replacement participant needs their own appropriate record. Preserve the cancelled person’s historical document rather than changing its name to fit the new roster.
For families, reconcile the actual children attending. One guardian form can include several minors, so subtracting one document from a total does not necessarily describe one cancellation. Match people first, then record status.
Send a precise update
Tell guests what changed and what they need to do. If a completed signing task remains appropriate under the reviewed policy, do not send a message that incorrectly says everyone has failed to sign. If another document is needed, explain which participants must act and provide the correct route.

Open the actual guest message on a phone and verify its destination. At reception, have staff find a returning participant and a newly added one. They should be able to tell which record applies without relying on the original booking agent’s memory.
Keep the earlier signed version intact throughout. A new event date belongs in the current operating context; it should not make an old PDF appear to have been signed later.
