How to reconcile family forms with a participant roster

Match each child and adult to the right signed record when one guardian form includes several minors.

A roster counts people. A guardian form can cover several listed minors. That is why comparing the number of signed records with the number of bookings often produces a confusing answer. Reconcile at participant level and keep the signing relationship visible.

Begin with the people expected to attend

Use the actual participant list, not only the booking purchaser’s details. Identify adult participants, minors and accompanying adults whose role is different. Confirm which people need paperwork under the program’s reviewed process.

Choose the minimum matching context needed, such as the participant’s name and visit reference. Do not ask the organizer to supply unnecessary private answers just to help reception find a record.

Expand each family record into its participants

When a guardian form includes two children, check both against the roster. Do not mark every child in the booking complete because the guardian’s name appears once. Likewise, do not treat the record as only one participant because it contains one signature.

In a controlled example, a group of five children might have two siblings on one family record, one child on another and two still unresolved. The answer is three children with matched records, not two completed participants or five completed guests.

Resolve ambiguity without guessing

Use a short reconciliation table:

These are sample labels. Keep actual personal data inside the authorized system. A shared planning sheet should not duplicate all family details or full PDFs.

Recheck changes close to arrival

A sibling added later may not appear on the earlier signed form. A child replaced on the roster is not the same participant under a different label. Follow the appropriate signing process for the actual attendee and preserve the original record.

At the door, reconcile who really arrived separately from who signed. Keep an owner for unresolved matches so the next shift does not interpret a blank cell as either approval or nonattendance. Use the school-visit workflow for larger groups involving several families.
