How to handle a cancelled participant invitation

Stop the right future signing task while preserving any existing record and keeping replacements separate.

A cancelled invitation and a signed waiver are different records. Cancelling a future attendance plan should not make an earlier signature disappear or transfer it to someone else. Begin by identifying which person and event changed.

Confirm the cancellation scope

Ask whether the entire event is cancelled, one participant is leaving or a substitute is joining. These cases need different actions. Record the booking decision through the system that owns it and identify who is responsible for the invitation update.

Keep replacements as new participants

A replacement guest needs their own appropriate signing process. Do not overwrite the old participant’s name in a PDF or use the old personal invitation as if it belonged to the substitute. Confirm the new person’s contact and required guardian route where applicable.

For a family booking, identify exactly which child changed. A guardian record may include other children who still attend. A cancellation should not accidentally remove the whole family from the operational roster.

Check communication before the next send

Review whether the cancelled person is still included in a follow-up list maintained elsewhere. A booking spreadsheet or external messaging tool can retain outdated contacts even after the invitation is cancelled in the product.

Reconcile after the event

Check actual attendance separately from the cancellation and signing states. Someone may have signed before cancelling, while a substitute may have completed their form at the venue. Preserve the explanation without collecting unnecessary private details in a general event note.
