Add a teammate to your workspace
Create individual access and complete the sign-in handoff carefully.
Use a separate account for each teammate. It keeps the handoff clearer when people change roles or leave, and it avoids the confusion of several staff members using the same login while working with signed records.
Before adding someone, confirm their work email and the role they need. A person checking arrivals does not necessarily need responsibility for billing or permission to change the organization’s template settings.
Open the team settings.
In Settings, open Team and choose Add person. Owners and admins can access team management. Enter the person’s name and email carefully so the access handoff reaches the intended colleague. Check for an existing account before treating a repeated request as a need to create another identity.
Choose an appropriate role.
Select the role for the person’s responsibilities and confirm the addition. The available choices depend on your own role. Ask the owner to review high-privilege access rather than assigning it as a shortcut for a single task that another administrator can complete.
Finish the sign-in handoff.
Review the result shown by the app. A newly created account receives a temporary-password handoff; an existing account can use its current sign-in. Follow the displayed delivery status and your organization’s secure access process. Never paste passwords into a general support request or a shared operations document.
Try it with a realistic visit.
Before a new receptionist’s first shift, have them sign in using their own account and complete a supervised test search. Ask them to open the areas they will use for arrivals and identify where to ask for a template-setting change. They should not need another person’s password to complete the work assigned to their role.
The handoff is complete when the intended person can reach the correct organization and understands the boundaries of their role. Keep the access instructions separate from any temporary credential, and resolve a wrong email or account mismatch before the person starts serving guests.
The app says the person already has an account.
Use the existing-account instructions shown in the result. Do not overwrite someone’s access details or assume a new temporary password was generated. Ask the owner to confirm organization membership if the person still cannot see the workspace.
Should we share a login for a temporary event?
Use individual accounts for the people who need workspace access. A short event is still easier to manage when you can remove each person’s access afterward without changing a shared login for everyone.
