A timed tour has several steps before the group leaves reception. Explain the arrival window and send the form early. If a third-party organizer made the booking, provide a message they can forward to the actual participants instead of assuming their single email reaches everyone.

At arrival, connect each person to the booked departure and signed record. Keep a clear route for guests who need to finish signing. A person waiting for a guardian should not disappear inside a group marked complete because most members are ready.

Pass a precise status to the next station.

Reception can confirm that the document task is complete and identify an outstanding staff review. Equipment fitting and operational eligibility remain decisions for the responsible team. Avoid a single green label that staff could interpret as completion of every stage.

Make the handoff understandable across locations or towers without distributing full form answers. Use a roster reference and the smallest amount of information needed. Decide who can resolve an exception and where the guest waits while that happens.

03 / PREPARE THE FORM

Keep the scope clear for combination packages.

A booking may combine a canopy tour with another park activity. Review the documents required for the package before publishing the link. A guest should recognize which activity the form describes and whether another step is still needed.

Do not add measurements or other questions merely because another venue asks them. Include the fields your own approved process requires, label them clearly and name the reviewer. A collected answer without an operational use creates work without clarifying the next step.

Retrieve the actual tour record.

When a guest later contacts the park, narrow the search by participant and visit context. Keep the template version from signing attached to its record. Replacing the current form should not alter the document associated with an earlier tour.

Keep device and staff access organized for seasonal teams. A shared kiosk should open participant signing, while record retrieval uses authorized staff access. Review exports and retained staff sessions when team members rotate out.
