01 / ARRIVAL WORKFLOW

Make the departure deadline visible.

Guests may think their arrival time is the moment the raft launches. Explain when the group needs to be ready for the reception, equipment and shuttle steps. Send the signing link with those instructions and say which adults and guardians must complete it.

Use the trip reference to distinguish groups leaving close together. At the desk, match people to the intended departure rather than treating a bus-sized reservation as one signed party. The group organizer can help distribute the link, but the actual signer requirements still apply.

02 / PEOPLE AND ROLES

Count people after counting forms.

One guardian form may include multiple children, while each adult companion may have a separate record. Reconcile the participant list before the shuttle handoff. A count of signed documents alone is not a headcount.

Give staff a clear place to record unresolved paperwork without mixing it into equipment allocation. If a late guest joins, verify their own record and make sure the trip contact knows that the roster changed. Do not let an earlier printed count become the only source of truth.

03 / PREPARE THE FORM

Separate activity review from a route update.

When the planned trip changes, have the responsible person assess whether the approved wording still describes the activity. Communicate the current plan clearly and keep the earlier signed document intact. Reception should not decide document scope by editing the trip name in a downloaded file.

Questions on the form need a defined reviewer and timing. Collect only what the trip process uses, and keep any private discussion out of the loading queue. Instructor assessment, equipment checks and the departure decision remain separate responsibilities.

Keep records useful after the season.

A later request may refer to a date, departure slot or guest name. Use a consistent event and template naming scheme so staff can narrow the search. Retain the signed version and record reference when exporting an authorized PDF.

Avoid storing complete participant records in a guide’s general trip-chat history. Pass the information needed for the operational handoff through the appropriate channel. Shared access and export destinations deserve review when seasonal staff leave.

05 / TEST THE PROCESS

Rehearse the last ten minutes before loading.

Try a sample departure with one missing guardian, one guest on the wrong date and a desk tablet that cannot connect. Identify who resolves each issue and how the group count is corrected before loading. This tests the process where time pressure is highest.

The American Canoe Association provides paddlesport education and trip-planning resources. Use relevant instruction for the on-water operation; collecting a signature does not replace that preparation.
