The launch point is often the wrong place to introduce a lengthy signing task. Guests may be parking, meeting their companions and locating equipment. Send the form with the departure instructions and identify the tour date so they know which visit they are preparing for.
When one person books several places, ask them to share the participant instructions with the other adults. Review completed records before the departure window. A reminder to the purchaser alone may never reach the person who still needs to sign.

Distinguish the booking party from the participants.
A reservation count is not a list of signed people. Collect enough participant information to match each paddler to the right record, and use the guardian process when minors participate under your requirements. Resolve questions about the responsible signer before equipment distribution.
Give the guide a concise roster handoff. The guide needs to know who is expected, who has arrived and which unresolved item needs attention. Avoid circulating full personal answers to everyone helping at the launch point just because a roster is being shared.
03 / BUILD THE FORM
Keep activity wording and trip logistics separate.
Use participation wording reviewed for the actual activity. Put parking instructions, meeting times and what to bring in the guest communication, where they can be updated without changing an existing signed document. If the activity changes materially, have the responsible person review the form's scope rather than silently reusing an old link.
Ask only questions that the operation knows how to use. A response that needs guide review should trigger a defined conversation. The digital form does not replace equipment fitting, briefing or the guide's other procedures.

Use signing and arrival as separate states. Someone can sign from home and then miss the departure, while another guest can arrive without completing the form. Reconcile both against the actual group before the handoff to the guide.
Keep the signed record linked to its published version and use a consistent tour or session reference where appropriate. When retrieving a PDF later, search by the participant and visit context rather than relying on a guide's memory of which purchaser brought the group.

Test the launch-point connection and fallback.
Try the process on the devices and connection the team will actually use. Include a participant whose phone is flat, a last-minute guest change and a family with a missing guardian signature. Write down who resolves each exception before departure.
A page that appears completed offline is not proof that the server received the record. Confirm completion in the system when the connection is available, and follow your approved fallback if it is not. Keep that decision separate from the tour's weather, equipment and operational readiness checks.

A public link or shared signing device can support on-site completion when connectivity is available. Send the task earlier where possible and test the real departure-point connection and fallback before relying on it.
Does signing mean the guest is checked in?
