01 / ARRIVAL WORKFLOW

Plan for the group to arrive together.

A booking may have one email address and several players. If the form only reaches the purchaser, the entire group can end up signing at reception just as the briefing should begin. Send a short forwardable message and ask the organizer to share it with the participants.

State the arrival time and signing task separately from the game start time. Guests should understand what they can complete beforehand and what the host will explain on site. Keep a quick route to on-site signing for a substitute player without making the rest of the group guess what is happening.

02 / PEOPLE AND PERMISSIONS

Match each player to the right signing process.

Adult participants and minors may need different signing flows under your venue's requirements. Explain the guardian process before youth parties arrive, especially when a party organizer is bringing children from several households.

A team name is useful for organizing the game but is not enough to identify the people covered by a document. Keep participant names clear and avoid treating the organizer's signature as a blanket completion for the whole team. Staff should be able to find a record without knowing who paid.

03 / BUILD THE FORM

Make the form support the visit, not reveal the game.

Use clear participation wording and collect only the details required for your process. Operational questions should have a named reviewer. If a response needs a private discussion before the game, handle it before the host begins the group briefing.

Keep booking policies and game instructions distinguishable from the participation acknowledgment. Do not bury practical arrival information inside a long text block that the guest later cannot easily find. The host's introduction still has its own purpose even when every player signed in advance.

04 / FIND THE RECORD

Keep the roster accurate when players change.

Last-minute substitutions are common in group bookings. Remove assumptions based on the original headcount and reconcile the actual people at reception. Someone who signed but did not attend and a replacement who arrived unsigned should not cancel each other out in a simple total.

Record arrivals separately from signatures. Keep the signed version attached to the original participant and use your event or booking reference to find the group later. Do not edit an earlier signature to make it appear that a substitute completed it.

Test the room-turnover pressure.

Rehearse with two groups arriving near the same time, one missing guardian signature and one substitute adult. Give the desk a simple way to separate the groups and a clear owner for unresolved questions. The test should not depend on the room host remembering every name.

After the first few sessions, review where guests stalled. Improve the organizer message, form label or reception instruction responsible for the delay. Keep the result focused on getting people to the briefing with the right record, not on collecting additional fields without a purpose.

Can a team leader complete everyone's form?

A team leader can distribute instructions and coordinate the roster. Use the appropriate signing process for each actual participant instead of assuming leadership authorizes signatures for every adult.

How do we handle a substitute player?

Identify the person who actually arrives, collect the required form for them and reconcile the roster. Preserve the original signed record for the participant it belongs to.
