How to reconcile an event roster after arrival
Separate invitations, signatures and attendance so cancellations, substitutions and repeat arrivals do not distort the event record.
An event has several useful lists: invited people, completed signatures and actual arrivals. Reconciliation means explaining the differences between those lists rather than forcing their totals to match.
Start with the people who attended
Use the actual arrival information and compare it with the intended roster. Identify no-shows, substitutes and additions separately. A guest who signed but did not attend should not be turned into an arrival simply to make the list look complete.
Check ambiguous names with the appropriate visit context. If two people share a name, use stable identifiers and authorized clarification rather than merging them by appearance.
Investigate gaps by state
For an attendee without an obvious signed record, search carefully before requesting another form. For a signed participant with no arrival, confirm whether they attended before changing the arrival state. A sent invitation is neither of those facts.
Repeated arrivals can be legitimate, depending on the operation. Do not remove them automatically because the name appears more than once. Determine whether the duplication represents a second visit or an accidental repeated action.
Close the operational loop
Record unresolved items with a responsible owner and next action. Keep the notes factual and limited to what the team needs. Do not alter a signed document to make it fit an after-the-fact roster correction.
Use recurring discrepancies to improve the next invitation message or desk process. If substitutions are repeatedly missed, fix participant-level reconciliation before the next event rather than adding another generic reminder to everyone.
