How to handle late additions to an event
Add the actual new participant, resolve their required signature and update the arrival roster without overwriting another guest's record.
A late addition is a new participant-level task, even when the booking headcount stays the same. Give the desk a short process for substitutions and extra guests so the change does not disappear inside an organizer's verbal update.
Identify what changed
Ask whether a person is replacing someone or joining in addition to the original group. Record the actual attendee's name through the appropriate roster process. Keep the absent participant's signed history attached to that person.
For minors, identify the required guardian route before directing the guest to sign. The adult making the last-minute change may be coordinating the visit rather than holding the signing role your organization requires.
Send the current form
Use the event's current intended signing link. Check that the event is still open when the flow depends on it. Do not reuse a private prefill link created for another participant or pass along a completed confirmation as though it were a blank form.
Give the guest time and a suitable place to read. If the group is already moving into an activity, route the exception to the designated staff lead rather than rushing a signature to keep the totals looking complete.
Reconcile before the handoff
Confirm the new signed record is visible and update the arrival state separately. Tell the activity lead which actual people are present. A unchanged headcount is not enough to prove that the right records were checked.
After the event, review whether the booking instructions could have caught the change earlier. If substitutions are frequent, add a clear instruction for organizers and a defined role at reception rather than treating each one as an unusual emergency.

Can we rename the absent guest's record?
No. Preserve the record for the person who actually signed. The replacement participant needs their own appropriate signing process.

Resolve the event state through the authorized event-management process. Do not keep retrying a signing submission against a closed event or attach the guest to an unrelated event to bypass the problem.
