Choose a plan that fits before comparing totals.
The cheapest advertised plan is not always the cheapest plan for a real venue. Compare an appropriate allowance first, then work out what happens if a party booking, special event or seasonal rush takes you over it. A plan with a clear overage can be convenient, but it should be part of the budget rather than a surprise.
CleverWaiver lists Basic at $9.99 per month for 70 waivers and one template. Starter is $29.99 for 500 waivers and three templates. Both list a $0.20 charge for additional waivers. Standard is $49.99 for 1,000 with unlimited templates. Match the plan to both volume and the forms you need.
Count distinct programs, not just documents.
A single-location venue can still run several different activities. A membership form, a day-visit form and a separate event document may each have a reason to exist. Before comparing template allowances, ask who approves those documents and which ones actually need a separate published version.
Do not combine forms solely to fit a subscription. Equally, do not create a new template for every minor scheduling change when an approved shared structure already works. Give the person maintaining the forms a clear naming system so staff can choose the correct link without opening every document.
Try a full shift on the intended hardware.
CleverWaiver advertises offline collection through Android and iOS apps, followed by upload when a connection returns. That is a useful capability to examine for temporary venues or unreliable Wi-Fi. Test the whole sequence, including what the desk can see before and after synchronization.
Waiver.com provides mobile signing, QR access, embeds and kiosk mode, with draft saving if a connection drops. Draft recovery and full offline collection are different requirements. If signing without connectivity is essential, confirm the exact supported behavior before choosing the system.
Waiver.com Starter includes one location, unlimited waivers and 200 SMS per month for $9 monthly or $90 annually. Growth includes unlimited locations, unlimited waivers and 500 monthly SMS for $14 monthly or $140 annually. Extra texts are $0.02 each. This makes guest volume predictable on the waiver side while keeping message usage visible.
A careful switch protects the work you’ve already done.
Start with one program or location. Keep the existing service available while you check the archive and rehearse the new process with the people who will use it.
- Export and inspect.
Download original signed PDFs and available CSV data. Open a sample across different dates and document versions, then confirm where staff can find the archive. Verify historical access logs separately.
- Rebuild the approved structure.
Use your current approved wording, required fields and signer rules. Compare the published form with the source document. A new template does not change or replace an old signed record.
- Run the awkward cases.
Try a guardian with siblings, a changed participant, an expired record and an unsigned arrival. Confirm what staff should do when a record needs review.
- Change links after the check.
Update booking messages, QR signs, website embeds and kiosk instructions together. Confirm any import requirements with the provider before ending access to your previous account.
A few details worth settling.
Does CleverWaiver charge for extra waivers?
The published Basic and Starter cards list $0.20 per additional waiver. Check the current terms and choose a suitable allowance before comparing the full monthly cost.
Can one location need more than one template?
Yes. Separate activities, memberships, rentals and events may call for different approved documents. Compare your actual document list with the plan allowance rather than assuming location count determines template count.
What should we test before switching?
Run an adult, a family and an unsigned walk-in through the proposed signing process. Retrieve the resulting records, check a changed template version and confirm that historical files remain accessible. Keep existing access until the archive and new workflow have been checked.
