A day visitor, a clinic participant and someone collecting a rental bike may reach the park through different links. Make the signing route fit the actual visit. Use the same activity name on the website, booking message and form so the rider can recognize it without asking at the counter.
At reception, check the participant record before sending the guest to the next station. Keep the document step separate from pass collection, rental handover and instruction. One successful scan should not imply that every part of arrival is complete.
A family reservation may contain adult riders, children and someone who is only accompanying the group. Identify who is participating and follow the reviewed signer requirements. Avoid collecting a participation form from someone solely because their name appears as the booking contact.
Confirm each minor is included on the relevant guardian record. A group count is not enough when two children share one form. Use a private correction route if names or family relationships need clarification.
A guest may add a clinic or rental after buying a pass. Check whether the changed activity requires different reviewed paperwork. Do not assume a broad-looking template title settles the scope. Keep the operational handoff owned by the staff responsible for the activity.
Rider questions need a purpose and a reviewer. Reception should know how to route an outstanding discussion, but it should not use a form answer to assign coaching or make equipment decisions outside its role.
| Field or section | Why include it |
|---|---|
| Rider identity | Match the person using the pass or attending the clinic. |
| Visit scope | Distinguish general riding, lessons and rentals. |
| Guardian and minors | Account for children individually. |
| Reviewed questions | Route relevant staff follow-up. |
| Signed version | Preserve the original form. |
Use event and template names that distinguish repeated clinics and busy weekend sessions. Preserve the signed version so a later request can be answered with the actual document from the visit. Do not export a current blank form as evidence of an earlier signature.
Review seasonal staff access and export storage. A useful handoff can say that a record is ready or needs review without copying private answers into a radio message or a general operations chat.
Create a sample family where one adult brings a bike, another rents and a minor joins a clinic. Ask the team to identify the appropriate paperwork and the next operating station for each person. Correct unclear links before the first public session.
For any separately sanctioned event, follow that organizer’s current registration requirements as well. The park’s own waiver flow should not be described as a replacement for another organization’s membership or event process.

No. Reconcile the participating riders and their appropriate records. The purchaser may be a different person from the riders.
Do not assume so. A separately organized or sanctioned event can have its own requirements. Keep those tasks distinct from the park’s document collection.
