How to support a guest who needs help signing
Offer practical help with the interface while keeping the guest’s answers, review and signing role clear.
Assistance should make the task understandable and usable without replacing the participant’s own answers. The right support depends on what the guest needs: locating a field, using a device, understanding which form to open or reaching the person authorized to explain the document.
Ask which part is difficult
Offer help without requiring a guest to explain a private condition in the queue. Ask whether they need more time, a different device position or help finding a control. Avoid assuming that every pause means they did not understand the wording.
Give the person a place to review the form with reasonable privacy. If they arrived with a companion, do not automatically direct every question to that companion. Follow the organization’s assistance and signer requirements.
Separate navigation help from document interpretation
Staff can point out a button, enlarge the page through the device’s supported controls or explain where required fields appear. Questions about the agreement’s meaning or who may sign belong with the responsible person under your policy.
Do not preselect acknowledgments or invent answers to finish faster. If the guest cannot complete a required task using the available route, use the approved exception process. A different device may solve an interface problem, but it does not change who provides the response.
Check the practical environment
The guest may be dealing with glare, a loose tablet stand or a keyboard covering the next field. Test the equipment where it is actually used. Make sure labels, errors and the final confirmation remain visible at the guest’s preferred text size.

Let the guest review the final state before submission. Afterward, verify that the record was received through the normal staff process and explain the next arrival step. Reset a shared device before another person uses it.
Include assistance in the new-receptionist rehearsal. Staff should practise a respectful handoff and know when to stop improvising, not memorize a script that assumes every guest needs the same help.
