How to separate participants from booking contacts

Avoid assigning one purchaser's signature to an entire party by identifying participants, organizers and required guardians separately.

One reservation can contain several different roles. The purchaser handles payment, the organizer coordinates the visit, the participant takes part and a guardian may be required to sign for a minor. Sometimes one person fills several roles, but your process should not assume that.

Map the roles before sending the form

Review a typical booking and name the actual participants. Ask which adult is responsible for the required signing process for each minor. Keep the payment contact available for booking questions without using that field as a shortcut for every person's identity.

For group visits, let the organizer distribute the instructions. Make the instructions clear that forwarding a link and completing a form are different actions.

Use participant-level completion

Check whether the actual people have completed their required forms. A message from the organizer saying “we are all set” is useful context, but it does not replace the individual or family records.

If your roster starts with a headcount, add names through the appropriate workflow before relying on it for signing reconciliation. Ten signatures and ten reserved places can still represent different people if someone cancelled and a substitute arrived.

Keep corrections attached to the right person

When a booking contact changes, update the booking process without renaming an existing signed record to a different person. When a participant changes, follow the new participant's signing process. Those are separate changes.

Train the desk with a gift purchaser, a party organizer and a guardian bringing siblings. Staff should be able to explain who needs to act next in each case without guessing from the email address alone.

  • The purchaser and actual participants are distinguishable.
  • Guardian signing instructions reach the responsible adult.
  • Completion is checked by person, not only by total.
  • Substitutions do not overwrite another person's signed history.

Can the purchaser sign for another adult?

Do not assume that payment creates authority to complete another adult's participation form. Apply your organization's approved signer requirements and send the correct person the instructions.

What if we only collected one email address?

Use that contact to coordinate distribution, then identify the actual participants through the signing or roster process. Improve future booking instructions so the limitation is clear before arrival.
