How to run signing at multiple entrances
Keep form destinations, record checks and shift handoffs consistent when guests can enter through more than one desk.
Multiple entrances can shorten a line while making inconsistent instructions harder to notice. Treat each entrance as a complete guest route, then make the shared rules explicit so a person does not get a different answer simply by choosing another door.
Map the entrance routes
Identify which activities and locations each entrance serves. Check the QR sign, shared device and staff shortcut at every desk. Do not assume that updating the main reception tablet updates a temporary entrance automatically.
List the intended form beside each route. Where the same form applies, keep the signage and link consistent. Where requirements differ, explain the distinction in words a guest can understand.
Use one completion standard
Staff should confirm the signed record in the system, not rely on a guest saying they completed a form at another entrance. Keep signing and arrival separate so a person moving between desks does not accidentally create several arrivals.
Define how a desk handles an uncertain or pending check. Give staff a way to contact the responsible lead without asking the guest to restart the entire process at a different door.
Test the handoff between desks
Walk a sample participant through signing at one station and record lookup at another. Include a device with an intermittent connection and a duplicate name. Confirm that staff can distinguish a missing record from a record they have not yet found.
At shift change, share unresolved issues and which entrance is affected. Use a neutral operational note rather than placing private participant answers in a shared group chat.
