How to measure friction in your waiver workflow
Observe where guests hesitate, repeat work or wait for help, then improve the specific step causing the problem.
A long queue does not prove the form is too long. Guests may be waiting for a device, looking for a booking, resolving a guardian question or completing a separate activity check. Measure the steps separately before deciding what to change.
Define a small observation task
Choose one session or arrival window and record the process boundaries you care about. For example, observe when a guest starts the document task, when they request help and when staff confirm the received record. Avoid collecting private answers or making recordings without an appropriate process.
Use consistent definitions. “Signing time” should not sometimes include waiting for a tablet and sometimes exclude it. Document the start and end points so another teammate could repeat the observation.
Record causes as well as duration
A simple tally can distinguish:
| Observed problem | Example note |
|---|---|
| Wrong entry point | Guest opened another activity’s form |
| Role confusion | Booking contact thought they could sign for the group |
| Field issue | Guest could not interpret a required label |
| Device issue | Glare or keyboard obscured the next control |
| Staff handoff | Nobody knew who owned the review |
These are example categories, not a claim that your venue has these problems. Add a short factual note where the category alone is not enough.
Compare like with like
Separate adult walk-ins, guardian forms and group arrivals where their tasks differ. A family completing details for several children should not be compared directly with one adult’s short form without that context.
Look at typical cases and the slowest exceptions. Averages can conceal a small number of guests who repeatedly need help. Record the sample size and observation window so a quiet weekday is not presented as evidence about a sold-out weekend.
Change one clear cause
If guests open the wrong form, improve the link label. If a question has no clear purpose, send it to the template review. If staff are waiting on one manager, repair the escalation process. Do not remove necessary wording or add more automation simply because a total duration looks high.
Repeat the observation using the same definitions after the change. Describe the result honestly, including what remains uncertain. Keep these internal measurements separate from public performance claims unless the evidence and context support publication.
Common questions
Do we need analytics software to start?
A bounded, consistently defined observation can identify useful issues. Use an appropriate data-handling process and avoid collecting participant information that the task does not need.
Is a shorter completion time always better?
No. Guests still need to review and provide their own answers. Improve avoidable confusion and waiting rather than encouraging rushed signing.
